You just got a call about a job

Log the enquiry before you forget it

  1. 1Open WorkBrief → tap New Enquiry
  2. 2Enter the client's name, phone number and job type
  3. 3Choose how you want to do the site visit: • You visit → send the client a WhatsApp survey link to fill in details • Client sends photos → they fill it in themselves
  4. 4Hit Create — the enquiry is saved and you can come back to it

You've done the site visit

Turn the survey into a priced quote

  1. 1Go to Enquiries → find the client → tap Convert to Quote
  2. 2WorkBrief pre-fills the scope from the survey (rooms, areas, or trade-specific items)
  3. 3Fill in your prices for each section
  4. 4Add any notes, T&Cs, or a validity date
  5. 5Save — it stays as a draft until you're ready to send

Share it with the client — one tap

  1. 1Open the quote → tap Share
  2. 2Choose WhatsApp or copy the link
  3. 3The client gets a professional quote page they can view on their phone
  4. 4They can accept, decline, or ask for changes — right from the link

A job gets created automatically

  1. 1When the client taps Accept on their quote, a job is created for you
  2. 2You get a notification straight away
  3. 3Set a start date on the job (or leave it open until confirmed)
  4. 4The job tracker link is ready to share with the client so they can follow progress

The job is running

Log updates as you go

  1. 1Open the job → Progress Updates tab
  2. 2Add a note or photo for each stage (e.g. first coat done, plastering finished)
  3. 3Choose whether to share each update with the client or keep it internal
  4. 4Clients see approved updates on their job tracker page in real time

If you use WhatsApp on site, updates can come in automatically — ask about our WhatsApp integration.

The job is done

Invoice and close it out

  1. 1Go to the job → Financials tab
  2. 2Add your invoice (deposit, milestone, or final)
  3. 3Mark the job as Complete once payment is received
  4. 4Everything stays on record — job value, costs, and margin
